Printing Renewal Notices

Printing Renewal Notices is an automated process which allows Theatre Manager to search through the database and print renewal notices to all patrons who have a Season Package and have had Favorite Seats assigned to them.

  1. In the Theatre Mgr menu, under Season Reservations, click on Print Renewal Notices

  2. The Criteria for Season Ticket Renewal Notices Window will open

  3. Select one or more Season Package(s) to Print notices for

     

  4. Select one or more Season Series for the notices

    One Series at a time is recommended so that visual verification of the prices once printed is simple.

  5. Enter a Prior Print Date, or leave blank to print all notices for all subscribers

     

  6. Enter an Order Fee if applicable

     

  7. Enter a Suggested Donation if applicable

    If the donation amount is over a dollar, the notice will print that price.  If the donation amount is less than a dollar, it will be treated as a percentage of the total price for the subscription (ie. $0.10 is entered, the donation will be 10% of the subscription price).

  8. Enter a Renewal Deadline if applicable

    If blank, deadline will not exist.

  9. Set the Notice options to print one notice per patron, or to print one notice per Subscription per patron

     

  10. Turn on the "Print notice on mailing labels" flag if you prefer to print on mailing labels, rather than a full detailed notice

     

  11. Choose a format for the performance dates

    The numeric format takes up less space on the notice.

  12. Click on the flags under Subscription Contents to remove certain pieces of information from the notice

     

  13. Turn off the flag to Print Tax lines, or change the button to include or exclude taxes in the ticket prices

     

  14. Click on the Search Tab to add search criteria if needed

    One suggested criteria is: season flag-automatically renew= no to remove patrons who have requested to auto-renew their subscriptions.

  15. Click on the Report Titles tab 

     

  16. Change any of the default titles on the notice to suit your company

    If you do not wish to print a certain field, clear out the title.  If the title is blank, the notice will remove the title and the data, so that field will not appear on the notice.  (ie. If you are not asking for a suggested donation, clear out the title.  This will print nothing, regardless of what is in the Parameters tab.)

  17. Click the Save as to export the setup of this notice to your hard drive

    You can then import it using the Select Button any time in the future.

  18. Click back on the Parameters Tab

    To Print Test Notices to Screen, so that you may proof read and troubleshoot for spacing, leave the printing options as default.  If you want to print to screen and mark as printed, change the button to that option.

  19. Click Next

    This will show you how your notice will look.  If your spacing is off, especially with the Section Row Seat, add spaces between these words in the Report Title area to correct the spacing for your printer. 

  20. When you are finished printing test tickets, turn off the Print Test Notice flag and click Next
