Version 6.63.02

This is an enhancement release for Theatre Manager.

The primary new feature is support for new or renewing subscriptions via the web sales module.

NOTE: As of Beta 5, only reserved seating subscriptions will work. We expect to have general admission subscriptions working by version 6.63.03 beta 6 (i.e. soon) but are releasing this due to demand.

  • Added ability to sell subscriptions on the internet
  • Added ability to renew subscription online
  • Added search for 'best seat' based on value of seat (e.g. aisles vs center, etc.)

Note: Read prior release notes for any mandatory web pages changes. There are no mandatory changes for this version. There are a number of pages that you should copy into your web page folder, especially, if you plan on implementing subscription renewals.

Renewals only work if you add the new 'subscription' button to the navigation bar.

We suggest reading the prior release notes completely from version 6.48 on (and certainly from your currently installed version)


Preparing for the Update

Before upgrade
  • if upgrading from a version before 6.48, read version 6.48 release notes
  • Complete your end of day. Deposit all funds, create all sales entries and post to the GL.
  • Verify the database using data utilities and ensure that everything is ok.
  • Make a backup copy of the database.
  • Expand the database so that there is at least 100 Megs free space to handle indexing the ticket file
After upgrade
  • You will need to add in the new web pages described below.
  • If you intend to offering subscriptions online, you will need to HOLD all the favourite seats in a control house. There is a feature in Theater Manager that will do this for you (Season Reservations->Hold/Book initial seats). This needs to be done for the control house - which is the performance used by internet sales to determine if a seat is available for offering to the customer.

  • It will take a long time from version 6.48 (see release notes)
  • From version 6.60 or later, it probably take 30-60 minutes if the upgrade is run on your server.

Web Sales

There have been a number of changes to the template web pages to support online subscription renewals. If you wish to see what they may look like, please visit the arts management web demo or a real life implementation of the sample at proctors theatre (2600 seat venue). At both web sites, you can browse for tickets without logging in. However, subscriptions have more rules about seat placement, so you will need to login (or create an account) to see the subscription pages. A sample of the renewal process is below

Some notes about subscription setup before event attempting to use them on the internet:

  1. Look at the notes about setting up a season package and indicate which ones are available at the box office for new/renew and which are available online for new/renew.
  2. Also, for the control house, indicate which performances are allowed to be sold on the internet as part of a subscription. This means you can enable most performance series, and disable opening night or previews, if you wish.
  3. When searching online:
  4. It is very important, then, to make sure that the control house has the current seats sold or on hold that you want to keep for renewing subscribers. There is a fast way to hold all seats for renewing subscribers. After sending out season renewal notices, you can go to 'Theatre Manager->Season Reservations->Hold/Book Initial Season Seats'. This will display a window that follows. The key thing to do on this window are to 'Only Hold the tickets using the hold letter' (and supply a letter you thing would be good for indicating subscriber holds). You can run this as many times as you want with different criteria if you'd like different letters for each type of subscriber. Now all tickets will be held. (Make sure that the control house is IN the list of events for the subscription).

  5. When the subscription is created by a customer on the internet, the Web Listener also updates the favourite seat locations and creates a subscription listing for the patron.
  6. If the subscription was renewed AND the patron types in comments about their subscription, the Web Listener sets the status of the subscription as 'requiring a seat change' after booking the original seats. You will need to review those subscription renewals to finalize the subscription status.

Updating existing web pages:

If you do not intend of adding subscription capabilities to your web site, then you will probably not have to make these web page changes at the moment. We do suggest making them. If you do not change the tmNavButtons.html file in tmTemplates, then no subscription capabilities will be enabled and the web listener will remain unaware of those functions. This means you can stage the implementation of this version and ignore subscriptions until you are ready to use them.
