7.25.03 Changes & Enhancements (Mar 17)

Subscriptions

• Added the ability for the web listener to process online subscription renewals for reserved seats, including tracking a request for changes
• Added the ability to process new subscriptions online for reserved seats
• Clicking on the background of a map in the manage subscription seats will now show any changes to the map. This allows a quick update process to reflect what is happening on the web if online subscriptions enabled or at other workstations.
• Fixed issue on the subscription detail window for a patron where if changing the evening for the subscription and then printing the renewal notices would cause the old date to be use on the renewal notice or the booking. Now all data is saved first when a toolbar button is pressed.
• Changed the behavior on the subscription detail window so that picking a promotion will only show the price codes that are active for that promotion.

General

• The capitalization of fields now also removes all double blanks for the field so that address and names space properly
• Entering of address data now removes the characters #&? from addresses. This is especially important on the company preference addresses which appears on the current standard web pages in the 'hours of operation' with a map link for Google maps - and Google maps does not like these 3 characters. This was done to ensure that the standard web pages work with more venues without modification.
• In the address checking, if there is a '#', it is replaced with a ' No ' so that RR #1 becomes RR No 1.
• The name parsing routine that splits first & last names apart was made a little smarter and is able to deal with multiple middle names and put them into the middle name field (that is now up to 60 characters)
• Inserting patrons now displays the patron name on the title bar of the window as the fields are entered. Previously it only did this when editing an existing patron.
• Added the patron type to the 'family member' list on the patron window. It now shows whether they are individual, corporate or other values from the code tables.
• Added middle initial (or name) to a number of areas in the household display and other lists in Theatre Manager
• Added company to the display on the patron window where it shows the patron 'cards'
• Fixed display of patrons in outlet version where they might sometimes display the patron twice due to a Cartesian SQL join - now it only displays the patron's name once.

Web Sales

• The web listener now generates URL's for the user with the word 'TheatreManager' in the URL instead of 'tm_apache'. This was done for display consistency in a browser and does not affect any existing web pages.

Reports

• The donation detail by campaign now shows the address on the report for audit purposes
• When creating custom categories, the letter 'W' was included as one of those characters that was not allowed in the name of the custom category and was automatically removed. The letter 'W' is no longer removed.
• Changed the name of a number of the report selection criteria fields for consistency. fields that end in '#' are the record keys and now come first - and selecting them usually results in a popup selection being made available

Code Tables

• Added a designation for volunteer awards code table to indicate whether it is a 'milestone' or a 'service' award.
• Added a pop up field and an associated code table to the volunteer history screen to track a custom popup on each history record. It is initialized as the 'shift' that the volunteer worked - such as they were scheduled for the 10-2 shift in the concession. This field can be renamed to anything desired - so it is a customizable field. This brings the total customizable fields in Theatre Manager to 25

Members/Pass/GC

• Enable the 'renew' button for the proper types of passes on the member/pass/GC entry window.
• Renewing a membership/pass now sets the initial membership date on the renewed membership and correctly displays the icons and history of renewals)
• Historical memberships (i.e. those that were renewed in the past) no longer appear on the patron window - only the most recent renewed membership.
• Historical memberships no longer appear on the pass lookup window - only the most recent renewed membership.
• Added a feature for printing memberships/passes/ gift certificate. You can now click on the print button and mark the pass as printed.

End of Day

• added a visual indicator for the most often used/generally suggested reports. These now have a star in front of them.
• changed the word 'printed' for reports on the end of day screen to have a printer icon on them after printed.
• added a condition to 'hide' reports that are not recommended for end of day ... i.e. those that are based only on sales data (and ignore deposit information). they are still accessible by clicking a checkbox whereby they become visible. They were hidden because it is possible that they could provide partial information inconsistent with the rule of migrating all GL entries to the accounting system exactly as is.

Donations

• Changed some behavior on the donation window so that soft credits do not get shown in the patron window of the original donor during data entry. (this was visual mistake and should not have occurred).
• Changed the behavior of deleting a donation so that it will auto-delete all soft credits at one time without having to delete the soft credits first.
• Added a default value for the donation next contact date. Theatre Manager previously automatically set it at 11 months after. The number of months can now be defined in Company Preferences.
• Auto-fill the donation benefit amount when the donation campaign and/or amount is changed for convenience.

Events & Dates

• Clicking on the background of the map in events and dates also the map display.
• On adding a new event, default the sales method to reserved if the performance is in a venue that supports reserved seating, or general admission if the seating map has not been set up.
• Added ability to delete events even if it was linked to the membership, marketing, or fee tables. Now the event will be deleted from those tables.
• Implemented the custom return to hold map for each performance - you can now change how the holds are managed when a ticket is returned an customize it on a per performance basis if need be.

Volunteer Management

• Added the ability to have multiple supervisors (who must be employees in TM) assigned to manage an employee when they are doing their volunteer activity
• The volunteer year on the history record is now calculated based on the fiscal year of the date of volunteering if the volunteer history is not attached to a specific performance or event.

Ticket Sales Processes

• Added a feature to coupon codes at the box office to limit the number of items that can be converted to a new promotion during one checkout/use of the coupon
• track each individual use of the coupon (and each discounted type of ticket)
• Added postal/zip code tracking on the payment window - and make it mandatory/optional or not able to be entered. This is useful for demographics tracking for before event sales and walk ups - and has been an oft requested enhancement. For normal sales, it is entered automatically. For before event, it is cleared and must be entered. You can set the behavior on the Company Preferences window - in the Mandatory Data tab.
• Added new feature to sales promotions to indicate if the promotion should be used day of sale only, or if it should be used before the event occurs. At this time, it is just an indicator. In the future, it will be automatically integrated into the sales process for sales promotion selection.

Miscellaneous

• fixed a data issue where the 'short' postal code was not being calculated
• Added the ability to link an activity note to a specific venue.
• Ticket faces will now print a sample ticket in more conditions. Previously, it required one unsold ticket. Now it just requires at least one ticket in the database, at least one venue and one performance.
• Added a custom 'date' field for the 'donor' tab in the patron record that can be used to track a specific donation related items.
• The length of the mail list name, donation campaign, and member/pass description was increased to 60 characters
• Added a condition to check for connection to the database before writing to the system activity log

Updated Web Pages

There are some new and updated web pages that you may wish to replace some of your existing pages with. The table below indicates the pages that have changed and the nature of the change that was made. These pages may be downloaded and placed into your apache server. You will need to stop and restart all web listeners after the page changes have been made.

• Word Processing: added a little more white space around the tools window in the word processor to improve the visual look
• Word Processing: allow saving the window position on a document
• Volunteer Recognition: when adding a history, if there are no activities to assign recognition to, then default to a milestone recognition
• Subscriptions: added a button on the wait list are to position to the patron who the wait list is for
• Subscriptions: added a button to open the patron directly instead of needing to use the context menu (right click)
• Subscriptions: cannot book a subscription from the patron window if it is not allowed to be renewed by the box office
• Subscriptions: cannot add a new subscription to the patron if the subscription is not allowed to be added at the box office
• Subscriptions: all subscriptions are booked as reservation only until the first payment is received. This means that they do not show up in the A/R by default .. and should help manage the A/R in the accounting system.
• Sales Promotions: changed the search for promotion to be a 'contains' search instead of a 'From/To' search to make it easier to find promotions
• Membership/Gift Certificates: changed the search to be a 'contains' instead of a 'From/To'
• Mail Lists: changed the search to be a 'contains' instead of a 'From/To'
• Mail Lists: added ability to search for a mail list by the number of people in it, the person who last changed it and date entered/updated
• Mail Lists: allow any list of patrons to be dropped onto the mail list 'who's in' area. This means you can now drag people from one list into another easily.
• Invoices: allows optional 'strict address' compliance
• Event Setup: small optimization to prevent loading some of the information in the tabs if they have already been loaded
• Event Setup: changed the daily sales summary tab to blank out fields that are not included in the summarization process to improve clarity
• Event Setup: not providing a ticket face generates the correct message 'no ticket face provided' - and does not mark any tickets as printed.
• Event Setup: you can now double click on a GL entry in the GL entry tab and see the actual g/l entry (if you have permission)
• General: prevent redrawing some sub windows if nothing has changed on them to improve visual look on the screen
• General: there may be some data access performance improvements reading data (especially on PC's) if a full install is done. This is a preview and will require a mandatory install in a future major release
• General: deal with a rare condition in double clicking on lists where the window closed before the double click timer was finished processing the double click - which may cause Theatre Manager to crash.
• Reports: there is a new report under the donation category called 'Donation Activity Report'. Its intent is to show the key information about a donor along with the past few interactions that are contained in the letter/note history. This should be the main report printed prior to seeing donors to aid in the moves management process.
• Reports: the donor program listing now excludes those donations marked as 'Prospect' or 'Soft Pledge' and includes 'Hard Pledges'
• Reports: optimized the processing of data for some reports to make them as much as 25% faster +/-
• Patron: added a test to make sure there was only one primary address and email for a patron and demote others during the opening of the patron window.
• End of Day:added some code to allow 'TS' transactions created by the web (that shouldn't have been) to be deleted and continue on. This means EOD will run successfully and the GL entries will be perfect.
• Web Sales: fixed an issue that could cause cookies to be interpreted incorrectly the first time and indicate that a web page was not found.
• Web Sales: added some protective code in case somebody gets to the checkout window on the web and then goes and deletes their cookies maliciously.
• Ticket Sales: should now create the exchange from transactions properly instead of marking an exchange as a ticket sale in some instances.
• Plugins: added a condition to allow plug ins to be year dependant and to pass in the performance year of the event
• Form Letter merge: small optimizations in the loading of data to make the merges just a little faster.
• Spell checker: Fixed crash using the glossary short cut keys (full install required to correct this)
• PDF printing: background rectangles on a report now display (full install required to correct this)
• PDF printing: fixed a random error where some PDF files could not be opened by a reader application (full install required to correct this)
• Work Processing (full installed required to get this fix)
