Sending a Database to Arts Management Systems using Timbuktu - PC

To speed up the file transfer process you may compress your database and transaction files into an archive using Winzip. Their demonstration software can be downloaded from the website www.winzip.com. If you find this tool useful, we recommend you purchasing a copy for your organization.

Prior to sending a database to Arts Management, you must obtain 3 things to complete the process. Contact Arts Management Technical Support for these values:

• the TCP/IP address of the computer you are about to send the database to
• the login user name
• the login password

1. Open Timbuktu

   The following window will open.

   

2. Click on the TCP/IP Tab

   

3. Enter the IP address given to you by Arts Management Systems

   It will be in a form of xxx.xxx.xxx.xxx

   

4. Click the Send Button

   This will open the send window

   

5. Click the Add Files Button

   The following window will open

   

6. Navigate to where your database files are stored

   If you are unsure of their location ask your System Administrator.

   

7. Select all of the files and click the Add Button

   If your database is made up of multiple segments, select all of the segments. If a segment is not sent, we will not be able to log into the database after we have received it. If you are unsure if you have multiple segments, ask your System Administrator.

   The files will be added to the lower portion of the screen

   

8. Click Done

   You will return to the Send Window

   

9. Enter in a Message that indicates who you are and the organization you are with.

    

10. Click the Send Button to begin the file transfer

    The Log In Window will open

    

11. Enter the Name and Password given to you by Arts Management Systems

 

12. Click OK

    The file transfer will begin.

    

Sending Database to Arts Management Systems using Internet Explorer - PC

This browser is free.

• the TCP/IP address of the computer you are about to send the database to

1. Open Internet Explorer

   The following window will open.

   

2. Click on Address field

   

3. Enter the IP address given to you by Arts Management Systems
   (Make sure there is the ftp:// at the beginning of the IP address)

   It will be in a form of xxx.xxx.xxx.xxx

   

4. Hit the Enter key on your keyboard

   This will open up a login window

   

5. Enter in the User Name an Password given to you by Arts Management Systems. You will then be logged into the ftp server.
   
   
6. Find where your database files are stored

   If you are unsure of their location ask your System Administrator.

7. Select all of the files

   If your database is made up of multiple segments, select all of the segments. If a segment is not sent, we will not be able to log into the database after we have received it. If you are unsure if you have multiple segments, ask your System Administrator.

8. Drag and Drop your files onto the Internet browser window

   You will see a similiar window indicating the transfer of the file(s)

   

9. The window will close after all file(s) have been transferred
